It's undeniable that AI has quickly become the most transformative technology of the past decade. We've yet to see its full capabilities, as new models are constantly being updated. Nor have we seen its full effects, as the changes to every facet of society are ongoing.
FIU is more than aware of these transformative changes, and as such has already created a set of AI guidelines to help employees use AI responsibly when it comes to generating marketing content. Our goal is to fully embrace the innovative possibilities that the technology presents, while maintaining our institution's impeccable ethics and integrity.
AI Principles
While we're not going to go over every single specific rule for using AI, it's worth reviewing the basic ideas behind the guidelines when it comes to marketing purposes.
Authenticity
FIU has built its reputation on accuracy and sincerity in the outward-facing content we produce. We will always strive to serve the public interest, and because of this, any information we put out on official FIU marketing channels must be accurate. AI has been shown to include inaccurate information, i.e, hallucinations, when generating content. You have a responsibility to double-check anything produced by or with the assistance of AI and confirm the information presented is accurate and without bias.
Brand Consistency
FIU is protective of its brand assets and has worked hard to create the iconic imagery associated with the institution. If you create an asset for an FIU marketing channel, it must conform to existing brand guidelines. It's always worth checking whether the asset already exists and needs to be AI-generated. For instance, we do not allow recreations of certain assets, such as the official FIU logo.
Accessibility
FIU is committed to accessible content and requires all digital assets to follow digital accessibility guidelines. As such, if you create any marketing content with AI, it is mandatory that it follow the existing accessibility guidelines. These rules are not optional. We have both an ethical and legal obligation to create content that all users can engage with.
Data Privacy
As many FIU employees deal with others' information, it's worth reiterating that any confidential or personally identifiable information should never be input into any AI platform that has not been vetted by FIU's Division of IT. If you have any questions about what AI platforms are appropriate to use, please contact the Division of IT or check out their AI Acceptable Use Guidelines.
Resources
All of these principles boil down to the same thing: AI-assisted or generated content has to be reviewed carefully before it is released to the public. Never forget we have a host of resources to help you make informed decisions about AI:
If you ever encounter AI use that could be potentially harmful to the FIU brand, you can report it to brand@fiu.edu. If you suspect that AI use may be a data security threat, always alert security@fiu.edu.
